Summary

The Project Coordinator plays a crucial role in supporting project activities and ensuring the efficient execution of tasks, working closely with and reporting to the Director of Training &Talent Management to ensure the successful delivery of projects. This involves a combination of administrative, organizational, and communication tasks, all aimed at ensuring the smooth operation and success of training and talent projects.

Job Scope

  • Assist in the development and maintenance of work effort or project activities, resources, tools, and information.
  • Liaise to identify and define requirements, scope, and objectives.
  • Break work effort into manageable chunks and be able to set and agree on timelines.
  • Collect information, develop insights, and create deliverables for key talent management initiatives including career development, learning journeys, performance management, goal setting, talent assessment and succession planning by ensuring time/consistency/efficiency and operability of processes.
  • Collaborate to design, test, and create user experience for all Talent platform modules in PeopleHub
  • Review and provide feedback for all user guides
  • Draft communications to effectively inform users about necessary tasks and timing
  • Oversee and provide general project management support on talent programs such as internship as well as learning and leadership programs such as Executive Leadership,
  • Emerging Leaders, new-hire orientation including scorecard design, program updates, executive overviews and miscellaneous project administration.
  • Coordinate tasks with internal teams and assist with schedule management.
  • Identify, call out, and document risks, actions, issues, deliverables, and opportunities.
  • Monitor work effort or project activities progress and handle any issues that arise.
  • Act as the point of contact and communicate project status to all participants.
  • Analyze training data and create insightful reports to present business impact of training.
  • Create and maintain comprehensive work effort or project activities documentation, plans, and reports.
  • Follow process plan to achieve stated objectives.
  • Prepare reports, which include recommendations and supporting documents.
  • Collaborate with team members and internal clients to deliver best-in-class talent management solutions.

Functional Knowledge

  • Bachelor’s degree in any field/discipline
  • Corporate experience with at least 2 years of Project Coordinator / Management work.
  • Experience in project management, analytics and program design and delivery.
  • Minimum of 2 years supporting projects end-to-end.
  • Proven work experience as a Project Coordinator or similar role.
  • Experience in project management, end-to-end process.
  • An ability to prepare and interpret flowcharts, schedules, and step-by-step action plans.
  • Solid organizational skills, including multitasking and time-management.
  • Strong communication and interpersonal skills.
  • Clear presentation and facilitation skills.
  • Proficient in MS Office, especially PowerPoint & Excel - working knowledge of all MS Office Suites.
  • Ability to collaboratively work with the team.
  • Proficient in MS-Office especially Excel and PowerPoint.
  • Ability to work under pressure and meet tight deadlines. Be able to manage conflicting priorities and expectations.
